Terms

A summary of our terms for self-operated rentals. The rental agreement is signed when you reserve, and if this summary ever differs from it, the agreement controls.

Payment

50% of the rental price (the reservation payment) is due when you reserve, by credit or debit card. The other 50% and the security deposit are due at pickup.

A card stays on file until everything you owe is settled. After we send you an itemized statement, it can be charged for anything beyond the deposit, such as damage, loss, cleaning, or late charges.

Security deposit

A refundable security deposit is due at pickup. We inspect the equipment at dropoff and refund the deposit within 2 business days, with an itemized statement of any deductions. If a repair cost can't be determined by then, we refund the undisputed balance and send the final accounting once the cost is known.

The deposit can cover damage, loss, missing items, cleaning, and late or extension charges. It isn't a limit on what you owe.

Cancellations and date changes

Cancel by text or email at least 7 days before pickup (14 days for Headliner) for a full refund of your reservation payment. A later cancellation, or a no-show, forfeits the reservation payment. A no-show means you haven't picked up within 2 hours of your pickup time and haven't contacted us.

You can change your pickup date once, free of charge, if you ask at least 7 days ahead (14 for Headliner) and the equipment is available. If you then cancel in time before the new date, you still get a full refund. A date change granted after the notice window makes the reservation payment non-refundable.

Weather doesn't entitle you to a refund, but we may offer to reschedule.

Late returns and extensions

Rentals run in 24-hour blocks, from your pickup time to your due time. After the due time there's a 1-hour grace period. After that, each 24-hour period or part of one is charged at the full day rate.

To extend, ask by text or email before the due time. Extensions depend on availability, aren't effective until we confirm them in writing, and are billed at 40% off the day rate. An extension we haven't confirmed counts as a late return, and there's no grace period after an extended due time.

Damage, loss, and cleaning

From pickup until we check the equipment back in, you're responsible for any loss or damage, whatever the cause. Damage beyond normal wear is repaired at your cost, or charged at the replacement value on the equipment schedule.

Equipment returned dirty beyond normal use is a $50 fee. Heavy soiling, including spills, smoke or fog residue, and food or drink, is $150, or the actual cost of professional cleaning.

Inspect everything at pickup and tell us about any problem before you leave with it. We both initial the equipment schedule at pickup and again at return.

Using the equipment

Only you and the operators you list on the agreement may set up or operate the equipment. Guests may use microphones under your supervision.

Keep the equipment indoors or under weather protection, never leave it unattended in a vehicle, use safe, properly grounded power, and keep fog, haze, confetti, and pyrotechnics away from it.

You're responsible for permits, noise rules, and venue approvals. Any fines or shutdowns are yours.

Liability and equipment failure

While the equipment is in your care, you're responsible for injury and liability arising from its transport, setup, and use, including claims by guests and venue owners, and you agree to indemnify Downbeat for them. Amplified sound and electrical equipment carry real risks, including hearing damage and electric shock. Downbeat's total liability is limited to the rental fees you paid.

If something fails through no fault of yours and you tell us promptly, we'll swap it for comparable equipment at our location or refund the part of the rental charge it covers. That is the remedy for equipment failure.

On-site tech

Events with an on-site tech are covered by a separate service agreement, which we'll send you before your booking is confirmed. The terms above are for self-operated rentals.
